Workshop Agenda
GovernAI Starter Prompts & 1:1 AI Readiness Conversations
9:00 AM - 9:30 AM
Pre-booked 1:1 AI Readiness Conversations run throughout arrival. In 20 minutes, a Diligent specialist will map the parts of your board cycle where AI can save the most time — and work with you on a short summary to take directly into the action planning roundtable after the panel.
You leave with:
A clear picture of where you are losing the most time in your board cycle — and which GovernAI capability addresses it first
Your AI Readiness summary to anchor your afternoon action plan
Opening Keynote — The AI Moment in Governance: Three Levels, Three Opportunities
9:30 AM - 10:00 AM
78% of board directors are already using consumer AI tools with sensitive board materials — and when those materials go into ChatGPT, they are remembered permanently. Your board is not waiting for a governed AI solution. They are already using an ungoverned one. This session cuts through the noise with a clear-eyed look at what is actually happening in boardrooms right now, what it means for your role, and what you are going to do about it — grounded in real outcomes from 3,000+ organizations already using Diligent AI.
You will leave with a clear understanding of the three levels of AI in governance: GovernAI, the capabilities you will use hands-on today; Diligent AI Boards, the new AI-native platform reimagining how governance teams work; and AI Board Member, the autonomous governance agent arriving in boardrooms later this year. No hype, no hypotheticals — just the knowledge, the context and the confidence to lead this transformation in your organization.
You leave with:
A clear mental model of the three levels of AI in governance — ready to use in conversations with your board, CEO or leadership team
The data that makes the case for governed AI over consumer tools — including the shadow AI risk your directors are creating right now
Your honest starting point on the AI maturity arc — and what the next step looks like
GovernAI Training Lab: Hands-On Skills Session
10:00 AM - 11:00 AM

This interactive skills lab cuts through the hype and shows you practical ways to make GovernAI a true productivity accelerator. Through live training and real workflow scenarios, you’ll learn how to build board materials in minutes, extract insights instantly, surface legal and risk considerations, generate first‑draft minutes and turn meeting inputs into action‑ready next steps. Expect a grounded, hands‑on understanding of how AI can streamline your governance cycle without adding complexity.
You leave with:
Hands-on experience GovernAI capabilities — Smart Builder, Smart Minutes, Smart Prep and Smart Risk Scanner
A personal plan to integrate GovernAI into your existing workflows and processes
Confidence to brief a colleague, direct report or board chair on what GovernAI does and why it is different from consumer AI tools

Fireside Chat: AI in the Boardroom: The Questions Your Board Is Already Asking
11:30 AM - 12:15 PM
Peer Roundtable: The AI-Powered Board Cycle — Build Your Action Plan
12:15 PM - 1:00 PM
This is where the day becomes yours. In groups of eight to ten, each with a dedicated Diligent facilitator, you will work through a part of the board cycle — and then share back to build a complete, peer-tested picture of what AI-powered governance looks like end to end.
Table 1 — Pre-Meeting: From Blank Page to Board-Ready
Your table owns everything that happens before the board meeting: pack preparation, director briefings, agenda planning, document management and the institutional knowledge that makes preparation faster.
Work through: which part of your pre-meeting workflow costs the most time right now? Using the GovernAI capabilities from this morning, map where AI eliminates the most friction — and what the first 30 days of change looks like in practice.
Questions to work through together:
Which GovernAI capability — Smart Builder, Smart Prep or Smart Summary — would have the biggest impact on your next board cycle, and why?
What does your current pre-meeting workflow look like, and what would it look like if you removed everything GovernAI can now do?
What is the one guardrail you need in place before you use AI on board-facing materials — and who in your organisation needs to approve it?
What does success look like after 90 days — and how will you measure it?
Table 2 — During the Meeting: From Participation to Action
Your table owns the meeting itself: real-time capture, decision recording, action tracking and the governance record that everything downstream depends on.
Work through: what currently happens in your board meetings that creates the most administrative burden afterward — and how does AI change that in practice?
Questions to work through together:
How does Smart Minutes change your post-meeting workflow, and what would you do with the time it gives back?
What does a fully accurate, tone-matched set of board minutes look like for your organisation — and what stands between you and that being automated?
How do you handle the governance record when decisions are made informally, outside the formal meeting? Does AI help or complicate that?
What is the audit trail requirement for AI-assisted minutes in your governance environment — and who owns that decision?
Table 3 — Post-Meeting: From Minutes to Momentum
Your table owns everything that happens after the board meeting closes: action tracking, institutional memory, follow-up reporting, and the longitudinal governance record that makes the next meeting faster and better than the last.
Work through: what currently falls through the cracks between the meeting and the next cycle — and how does AI close that gap?
Questions to work through together:
How does AI Smart Assist change the way you access and use institutional governance memory — and what question would you most want to ask it right now?
What decisions or commitments from past meetings are currently hard to retrieve — and what would it mean to have instant, cited access to them?
How do you currently track actions between meetings, and where does that process break down?
What does the governance record look like in your organisation 12 months from now if GovernAI is running consistently across every board cycle?
Bringing it back: the group share-out (15 min)
Each table's facilitator leads a two-minute summary: the biggest time saving identified, the most important guardrail agreed, and the 30-day commitment every person at the table is making.
The facilitator captures the three tables' outputs on a shared board at the front of the room — building a complete, peer-authored picture of the AI-powered board cycle from pre-meeting to post-meeting. Every attendee leaves with this as a one-page reference.
You leave with:
A completed section of the 90-day AI Action Plan tailored to your phase of the governance cycle — with a named pilot, guardrails, owner and success measure
The full board cycle picture from all three tables — a peer-tested map of where AI creates the most value across governance
One commitment made in front of peers, with a facilitator who has your contact details to follow up
Your table's collective product feedback submitted directly to the Diligent product team
Lunch, Certificate & Next Steps
1:00 PM - 1:30 PM
You built the skills. Here is what happens next.
A senior Diligent leader closes with three things: the specific GovernAI skills every person in the room now has that they did not have three hours ago; what happens to the product feedback collected today — it goes to the product team today, not into a folder; and the exact next steps for anyone who wants to go further.
