When clean entity records and board-ready materials demand re‑keying data, switching systems and chasing approvals, the work quickly stacks up against too-tight timelines. The latest Diligent updates bring AI assistance directly into your most critical and complex workflows so that steps disappear – and you've got time to spot the opportunities.

This update covers the new AI functionalities in Diligent Boards and Diligent Entities, and the new Education & Templates Library content. You'll see how they're helping teams move from scattered documents to assured decisions faster, while staying firmly in control of every change.

Here's what's new.

Diligent Entities: From documents to done: AI‑assisted entity updates

These new features turn manual tasks like record updates and appointment creation into review steps rather than data-entry exercises.

Faster entity changes and cleaner workflows

Traditionally, corporate secretaries and legal teams have had to read each source file, identify what changed and manually update records. The new Import & Actions feature in Entities AI turns that process into an AI‑assisted workflow, so teams can review recommended actions instead of re‑entering data line by line.

What this means for GCs, CoSecs and legal ops:

  • Turn disparate documents into completed actions: Upload a document into Import & Actions and let the Entities AI assistant read and understand it, identify the relevant entity, extract structured information and present recommended actions
  • Go from “inbox full” to “entity data up to date”: Act on entity changes the moment documents arrive with a clear record of what changed and why.
  • Reduce manual steps, keep full control: Review suggested actions and edit details where needed. Decide whether to approve, save as pending or action immediately so nothing is committed without your confirmation.

How it works:

  • Users upload a document into Import & Actions within the Entities AI Assistant
  • The AI agent reads and understands the document, identifies the relevant entity, and extracts structured information
  • Based on that analysis, the system presents recommended actions, such as creating an appointment with pre‑filled details, and filing the document to the correct entity’s working documents

One review, one click: Faster, more accurate appointments

Appointments are among the highest‑volume and most sensitive workflows in entity management. Re‑keying appointee names, companies, roles and dates from appointment letters into Entities is slow and introduces risk. The new Appointment Agent feature in Entities AI makes appointment creation a simple review step.

What this means for GCs, CoSecs and legal ops:

  • One review. One click. Appointment done: When a document is uploaded, the Appointment Agent identifies appointment events, extracts the appointee, company, role and dates and validates them against existing entity records before presenting a pre‑filled appointment for review.
  • Approvals instead of data entry: Teams simply review the proposed appointment alongside the original document, adjust details if needed and, with the right permissions, action it in a single click, freeing time for higher‑value governance work.
  • From document to appointment, faster: By standardizing how appointment data flows into the system and validating it against the existing record, the Appointment Agent helps reduce errors and keeps downstream reports aligned.

How it works:

  • Upload a document, review the automatically extracted appointment details, and approve, edit, or save.

Cleaner filings and clearer charts: Everyday Entities improvements

Alongside the AI assistants, several updates focus on making filings, reviews and structural analysis smoother for busy entity management teams.

  • Faster, more reliable NRA filings: The NRA form is now automated within Entities, with required fields pre‑populated from existing entity records so teams complete jurisdiction‑specific filings faster and with fewer data entry errors.
  • Broader review participation without extra licences: Read‑only users can now use Review Manager to update review status and add comments, allowing more stakeholders to contribute without consuming paid edit licences.
  • Chart exports that stay usable: Exported structure charts now remain as native visualisations instead of static PDFs, so users can continue working with them in their original format without rebuilding views from scratch.
  • Ownership insight at the immediate level: when generating the Related Undertakings report, teams can optionally include immediate parent ownership percentages alongside ultimate parent percentages to clarify where control actually sits for certain reporting requirements.
  • Minute books in one export: Data Library Bulk Download and PDF Merge lets users select one or all documents in a Data Library record and export them as a ZIP file or a single merged PDF with preserved order and an automatically generated hyperlinked table of contents, producing professional, audit‑ready minute books in a single step.
  • More readable group structure charts: Improvements such as automatic settings application, fixed‑size rectangles, custom watermarks and visible entity counts on charts make complex structures easier to interpret and present at scale.

Diligent Boards: No searching, just clarity with AI & templates side-by-side

Updates that put AI where directors want it: Up front, contextualized and clear. Plus, cleaner tools make it easier for GCs, CoSecs and legal teams to share documents, invite colleagues and make sense of large files in multiple languages.

Smarter AI experiences and clearer notifications in Boards

As AI and automation become part of daily board prep, usability and control matter as much as capability. The latest Diligent Boards updates concentrate on putting AI and notifications into a format that works for time‑pressed GCs, CoSecs and directors.

What changes in practice:

  • GovernAI side‑by‑side with the book: When users open the GovernAI panel on Boards Web, it now appears alongside the book page rather than overlaying it, so they can view AI suggestions and original content together without switching views.
  • Interested in GovernAI but not sure how to get started? Alongside the new layout, AI trial notifications have been improved so directors and admins can follow up GovernAI interest with fewer manual steps.

Boards + Data Room features update: Smoother prep and sharing

Updates that make collaboration faster and more global. Simplify how teams share and manage access in Data Rooms while enabling AI document summaries in multiple languages, tailored to each user, within Diligent’s secure environment.

  • Streamlined sharing and invitations: A unified sharing entry point now appears across Data Room content tables and context menus, with an improved share chooser that makes it easier to switch between link and folder sharing and a tightened “Add team members” flow across the header, Members tab and permissions panel in Team Data Rooms.
  • Summaries in your language: Data Room AI Document Summaries now support multiple languages, so users can select a document, click “AI Summary” and choose an output language such as English, German or French, with the system remembering language preferences as they move between files.
  • Independent language variants per document: Each language variant of an AI summary is stored separately, allowing cross‑border teams to collaborate on the same materials while reading summaries in their preferred language, all within Diligent’s secure environment.

Education & Templates Library: Ready-to-use governance and AI templates

Strong workflows work best when paired with clear templates. The Education & Templates Library now includes additional resources that help GCs and CoSecs standardise common governance processes and address emerging topics like AI governance without starting from a blank page.

What’s new:

  • Ready‑to‑use meeting procedure templates: Access new resources such as a Robert’s Rules of Order cheat sheet and a director continuing education requirements checklist to streamline board meetings and ongoing director development.
  • AI governance for nonprofits and beyond: Use the nonprofit AI governance and risk management policy template as a starting point to formalise how your organisation evaluates and oversees AI usage, then adapt it to your own structure and risk profile.
